Amazon stock from Guangzhou: separate FBA replenishment from FBM parcels
Give Amazon replenishment cartons and merchant-fulfilled customer orders distinct stock reservations, preparation briefs and release evidence.
By SINO CEP Insight editorial team
Start with the release model: an FBA replenishment shipment and an FBM customer parcel need different instructions. Keep Guangzhou supplier receiving, channel allocation and the accepted destination handover connected through one approved stock record.
Decide what the stock is being prepared for
Amazon describes FBA as sending eligible inventory into its fulfillment network, where Amazon handles customer fulfillment and related service. With FBM, the seller manages fulfillment responsibilities. A seller can use both models, but a unit reserved for one release cannot also be promised to the other.
For China stock, write the selling market, goods and proposed route at the top of the brief. Confirm whether the actual account, origin and destination can accept that model. A Guangzhou preparation service does not establish an overseas receiving location or make every customer route eligible.
Connect three product identities
Start with the supplier reference, the merchant’s Guangzhou SKU and the actual Amazon listing or seller reference. Include the variant, unit definition and supplier batch. If one selling unit contains two pieces, make that explicit before counting stock.
An archived community question asks which supplier terms matter when sourcing from China for FBA. The useful planning question is who resolves a changed quantity, delivery date or product instruction. Agree that responsibility before arrival; the post does not establish how often discrepancies occur.
Give FBA replenishment its own brief
Amazon’s official prep guide explains that units must be identified, protected and prepared for the receiving process. Product-specific instructions matter. Use the merchant’s current Seller Central requirements for the actual market and shipment rather than copying a generic barcode or packaging instruction.
- Shipment version: current inbound plan, receiving destination or appointed operator, and approval date.
- Unit preparation: approved label files, barcode treatment and any required product-specific packing.
- Carton record: SKU quantities per carton, final weights and dimensions, and applicable carton labels.
- Next handover: responsible transport party, import responsibility and evidence expected at release.
If a plan, label file or receiver changes, identify which cartons were already prepared. Hold affected stock until the merchant approves the replacement version. Printing another label is not a complete correction if the carton quantities have also changed.
Give FBM parcels an order-level brief
For an accepted merchant-fulfilled model, validate a real order sample. Match the customer order and line references to Guangzhou SKUs, the approved recipient fields, quantities and packing instruction. Name the person responsible for seller order status, tracking submission and customer exceptions.
Test one changed-order scenario as well as a clean order. If the merchant sends a replacement file after packing, the operation should reconcile what was prepared, what remains held and what was already handed over. Keep packing completion and carrier handover as separate records.
Approve stock priority and the work scope
Use separate reservation columns for FBA replenishment, FBM orders and unresolved goods. Compare the proposed release with the accepted receiving balance before approving another batch. Future supplier deliveries should remain expected stock until physically received and reconciled.
The scope should identify receiving, checks, labels, materials, packing, storage and dispatch preparation separately. Ask which additional work needs approval when a shipment version changes. These are scope questions, not a published price list or a promise that every activity is included.
Close the Guangzhou release with evidence
Return the approved instruction version, released quantities and final carton or parcel references. Record held quantities and their next decision. Destination receipt is a later event and should be reconciled separately from departure.
Use our Amazon FBA and FBM planning page, supplier handover, stock allocation and approved relabeling and rework to build the Guangzhou brief. Acceptance and service scope require confirmation for your shipment.
