GUANGZHOU · CHINA SUPPLY CHAIN & 3PL
Connect your orders
to the Guangzhou operation.
Validate order files, SKU mapping, release instructions and dispatch records for the China 3PL workflow.
Validate one sample before live release.
- Use channel / store plus order ID as the agreed order identity
- Identify file version, export time and the version replaced by a correction
- Map each line item’s merchant SKU, variant, quantity and Guangzhou stock reference
- Include recipient and destination-required address fields in the approved sample
- Define which order states permit release, hold, cancellation or further review
- Attach the approved packing, bundle, gift and insert instructions
- Name the merchant approver and the contact resolving unclear records
Approve the field mapping and the trial result before using the file for live work. When a corrected version replaces an earlier file, mark the earlier version as superseded and pause its remaining unreleased orders.
Resolve the order exception before release.
| Exception to resolve | Decision and record |
|---|---|
| Edited or replacement file | Identify the affected orders and the version replaced. Check preparation status; approve only the valid remaining release instructions. |
| Cancellation request | Check whether the order is unreleased, in preparation or already handed to the carrier. Confirm any available hold or recovery action; record the outcome. |
| Address missing or conflicting | Keep the order in the exception list. Merchant confirms the corrected receiving details and approved file version before release. |
| Duplicate order or file | Reconcile channel / store, order ID and prior release records. Approve only previously unreleased quantities; a repeated file is not a new release. |
| Insufficient stock or component | Keep the affected order held. Merchant approves replenishment, a split or partial release, cancellation or another recorded action; substitutions need explicit approval. |
Agree the dispatch return record.
- Channel / store and order ID
- Actual released SKU quantities and any remaining held quantities
- Parcel reference, with multiple parcels linked to one order when split
- Carrier / accepted service and tracking reference where available
- Actual carrier-handover date and the agreed supporting record
- Unreleased order reason, responsible contact and next review point
Agree the receiving format, update frequency and responsible merchant contact. A tracking reference and the actual carrier handover are separate records. Validate how the return record updates your store before using that process for live orders.

How can Shopify, Etsy or Amazon FBM orders be handed over to the Guangzhou warehouse?
Provide a real sample from the order source your team uses. Agree the store and order identity, file version, item rows, SKU and variant mapping, recipient fields, release states and packing instructions. Validate the sample and transfer method before live preparation. Also confirm the returned dispatch fields, reporting frequency and person updating your store. A corrected file should identify the version it replaces and any prior released quantities so the remaining instructions can be approved.
