Wix Stores stock and variant edits: approve the physical item before dispatch

Interpret inventory settings, reconcile eligible variant changes and connect packing evidence to the current Wix order instruction.

By SINO CEP Insight editorial team

A Wix stock status is not a Guangzhou picking balance. Confirm the store’s inventory method, map the selected physical variant and reconcile any order edit before releasing supplier goods. Return parcel evidence against the current order instruction.

Check what the store’s inventory setting represents

Wix’s inventory guidance distinguishes manually assigning an in-stock or out-of-stock status from tracking specific quantities. A product or variant can use either approach. For tracked inventory, the merchant can choose whether quantities update when the order is placed or when payment is received.

Record the actual setting before interpreting a store export. An in-stock label does not supply the number of units accepted in Guangzhou. Likewise, the moment a store reduces inventory does not itself authorize the warehouse to pick. Agree the release conditions and the person who approves them.

For supplier-held products, request a dated variant availability confirmation. For goods already in Guangzhou, reconcile accepted stock, existing reservations and unresolved units. Keep future deliveries outside the available allocation until receiving checks establish what arrived.

Map the customer’s choice to one physical unit

Use a real order containing product options. Link the store product and selected variant to the merchant SKU, supplier reference and Guangzhou stock code. Include size, colour or other identifying attributes in the sample so the team can resolve an ambiguous description.

If one product includes several components, list the quantities required for the sellable set. Keep gift messages, inserts and protective materials in the packing brief. Those instructions can change the work without changing which supplier unit should be picked.

Treat a variant change as a stock decision

Wix’s order-editing guide describes changing a variant by removing the original item and adding the correct one. It limits removal of store products to items not yet fulfilled, and excludes orders containing a store subscription or already partly or fully refunded orders from editing.

For an eligible order, reconcile the revised store record with the warehouse’s preparation stage. In an illustrative small-to-medium change, identify the small unit originally allocated, confirm whether it was picked, and review the accepted medium stock. Approve the corrected mapping and any return to available stock before issuing a replacement release.

Give the revised instruction a version reference and state which earlier record it replaces. If a parcel is already prepared, review the available correction or recovery action with the merchant. A saved store edit does not establish that the physical contents changed.

Use a packing sample to test the complete instruction

Our editorial recommendation is to verify the selected variant, set components, gift text and packing version together. Confirm the item labels, protection, insert language and final parcel measurements. Record who approves a missing or conflicting field.

  • Pick check: accepted SKU and quantity match the current order.
  • Packing check: the approved materials and order-specific choices are present.
  • Release check: edits and exceptions have an explicit merchant decision.

Hold affected items when the complete instruction is unavailable. Do not infer permission to substitute another colour, size or box from a similar product description.

Return evidence before the store team updates dispatch

Wix’s fulfillment guide explains that customers can find tracking in shipping confirmations and their My Orders page. Agree who enters or returns that information for the actual setup.

The dispatch record should connect order identity, released variant quantities, parcels, tracking references and the carrier-handover evidence. Show any outstanding items separately so a later file does not repeat an earlier release.

Use our Wix Guangzhou handover workflow, variant stock allocation and order and tracking brief. Validate the handover method, packing scope and shipment acceptance before live preparation.
