Ecwid options: match the sold combination to Guangzhou stock

Validate shared or unique variation SKUs, preserve selected options and separate storefront stock events from physical order release.

By SINO CEP Insight editorial team

Keep the selected combination visible: an Ecwid product name or shared SKU may not identify the exact physical variation. Connect option names, option values, receiving stock and approved extras before preparing the Guangzhou order batch.

Check whether the variation has its own stock identity

Ecwid’s variation guide describes variations as combinations of product options. Independent variation stock uses a unique SKU and quantity. The guide also permits a base product and variations to share a SKU when separate inventory tracking is not needed.

Read the merchant’s actual setup rather than assuming every size or colour has a distinct code. Map each sold combination to the supplier reference and Guangzhou stock identity. If the store code is shared, keep the complete option combination with the line so two physically different items cannot be confused.

Export the option fields deliberately

The Ecwid export guide allows selected-order exports and filtering by criteria including payment or shipping status. It also lets merchants export all item options in one column or split each option into a separate column.

Agree which layout the Guangzhou team will receive. A combined field needs a reviewed interpretation; separate columns need the correct option names and values. Test a sample with two variations, more than one product and an extra preparation request.

Preserve the source option values and line quantities. Avoid treating a similar name as permission to substitute a size, colour or material. Keep unresolved combinations on the exception list while the merchant confirms the mapping.

Turn the combination into a receiving and packing brief

Use the same physical identity when reconciling supplier deliveries. Record expected and accepted units for each variation, with shortages and goods awaiting checks kept separate. The quantity available to prepare is the accepted balance after existing reservations.

For an illustrative order containing one pair of an item and a gift insert, define both the selling unit and the packing component. The receiving team needs to know whether one recorded unit means a piece, pair or set. The packing team needs the approved insert version and its allocation rule.

  • Identity: store product reference, variation SKU where used, and full option combination.
  • Stock: supplier batch, accepted quantity and existing reservations.
  • Extras: approved insert, gift material or bundle components.
  • Decision: named approver for shortages, substitutions and revised instructions.

Product stock and packing materials may arrive separately. Hold a release that lacks an approved component until the merchant decides the next action.

Separate store inventory events from physical readiness

Ecwid’s inventory overview says stock decreases when an order is placed, including an Awaiting Payment order using a manual payment method. Changing payment status to Canceled or Refunded re-adds its product quantities to inventory.

Define the payment and shipping states that authorize Guangzhou release. A store quantity change does not prove payment clearance, undo completed preparation or establish that returned goods are physically available. Reconcile cancellations with the actual picking stage and any goods already dispatched before updating the warehouse balance.

Return the released variation and tracking together

Ecwid’s tracking guide describes entering a tracking number while marking an order Shipped and sending the customer its shipment notification. Confirm the actual notification settings and name the merchant contact responsible for the update.

Return the order reference, released variation quantities, extras, parcel and tracking references, with held quantities recorded separately. Keep label creation and carrier handover distinguishable. Validate any split-parcel store workflow before adopting it for live orders.

Start with our Ecwid option handover, supplier receiving, packing extras and dispatch records. Store capabilities, service scope and shipment acceptance need confirmation for your goods and destination.
