BackerKit exports: reconcile ready backers, kit contents and Guangzhou stock

Choose the correct fulfillment segment, group SKU rows by backer and keep order locks distinct from address approval before China release.

By SINO CEP Insight editorial team

An export needs a purpose: a broad BackerKit report can support planning while still containing records that are not ready to ship. Send Guangzhou an approved fulfillment selection with its file version, component map and recipient revision.

Name the actual BackerKit setup

BackerKit runs its own Crowdfunding platform and also provides Pledge Manager for campaigns funded elsewhere. Its official terminology guide distinguishes these roles and notes that changes on another campaign platform do not automatically update BackerKit.

Identify whether you are sharing campaign-stage records or a later Pledge Manager fulfillment selection. Keep the funding-platform reference where useful, but name the source that controls the approved reward choices and addresses for this release.

Use a selected fulfillment segment

BackerKit’s export overview warns that general exports can include backers with unfinished surveys or uncharged additional funds. Its fulfillment guidance directs creators to the ready-to-fulfill selection. A total drawn from a general report should not become a dispatch instruction without review.

Record the selected segment and its criteria, export time, version and responsible approver. Keep incomplete surveys, payment exceptions and records excluded from this wave on a pending list. Review any newly ready backers as an additional approved selection rather than appending them without stock checks.

Agree how the export represents one backer

BackerKit offers SKU per Column, SKU per Line and a format listing SKUs with their quantities. These layouts represent the same order differently. With SKU per Line, several rows can belong to one backer; counting rows as parcels would produce the wrong packing instruction.

As an illustrative example, a backer receiving a main reward and two add-ons may appear across several SKU lines. Group those lines by the agreed backer or order identity before mapping the contents to an approved kit. A single backer may still need several parcels if the creator approves that arrangement.

  • Keep the source order identity on every component line.
  • Confirm how blank, zero and repeated quantities are interpreted.
  • Map each SKU and variant to the physical receiving code.
  • Distinguish digital rewards from items that must be picked.

Separate order locks from address locks

BackerKit’s Pledge Manager guide treats locking order choices, charging cards and locking addresses as separate stages. An order lock does not by itself freeze the shipping address. Confirm the recipient version used for Guangzhou preparation and the creator’s approval of the selected records.

If a replacement export arrives, compare it with the current release by order identity: added or removed recipients, changed quantities, variants and addresses. Review affected records against the work stage before replacing instructions. An updated file cannot undo a parcel already handed over.

Reconcile order demand with physical kit stock

Sum the approved selection’s component demand, then compare it with accepted Guangzhou stock after existing reservations. Identify shortages by SKU and the orders affected. Do not interpret a completed survey or a platform fulfillment status as proof that every component has passed receiving checks.

After approved packing and dispatch, return order, parcel and tracking references with held reasons and the remaining component balance. Agree who updates platform records from that evidence. Start with our BackerKit handover draft, stock allocation, kit packing and tracking handover pages. Product and destination acceptance remain shipment-specific.
