eBay China sourcing: connect the supplier arrangement to each parcel

Check the sourcing model, match listed variants and accessories to Guangzhou stock, and return parcel evidence against the seller order.

Resolve the sourcing arrangement first: eBay allows dropshipping directly from a wholesale supplier, while prohibiting listing an item and then buying it from another retailer or marketplace that sends it to the buyer. The merchant remains responsible for delivery and the buyer’s experience.

A supplier arrangement needs more than a product link

eBay’s dropshipping policy makes the wholesale-supplier distinction explicit. A cheaper retail listing found after a sale is not a substitute for a permitted sourcing arrangement. Check the current policy and the supplier relationship before listing products or planning a China release.

For Guangzhou operations, distinguish supplier-direct dispatch from supplier deliveries received for stock checks and order preparation. Record who holds the goods, who confirms availability and who authorizes release. A warehouse preparation brief supports execution; it does not establish marketplace eligibility for an otherwise unaccepted arrangement.

Put availability and exceptions in the supplier brief

Connect the supplier product reference with the merchant SKU and eBay listing or variation reference. Include the exact unit, condition and accessories being sold. Agree whether the supplier reserves stock or confirms each order, and what event starts the processing window.

  • Availability: who confirms the exact variant and quantity before release?
  • Preparation: which product checks and packing instructions apply?
  • Discrepancies: who decides a shortage, wrong variant or condition mismatch?
  • Timing: which supplier, receiving and packing stages must be completed?
  • Return route: who handles buyer contact and where an accepted return goes?

Keep the supplier’s preparation window separate from Guangzhou receiving and carrier movement. Confirm the accepted route and destination for the actual account and goods. Wholesale sourcing permission alone does not prove that every parcel can be dispatched directly from China.

Match the listing to the physical item

eBay’s selling practices policy calls for accurate item information, inventory status and condition, together with clear handling and shipping details. Translate the approved listing into a preparation record the receiving team can use.

A listing for a device with two accessories needs three identified components, even if the supplier calls the entire delivery one set. Use photos or a component list where useful. If the received batch differs from the listed configuration, record the affected quantities and wait for the merchant’s decision before allocating it to an order.

Treat buyer notes as an instruction to review

A buyer note may request a different colour, another accessory or special packing. Compare it with the sold variation and current preparation version. The merchant should resolve any conflict rather than leaving the packing team to reinterpret the sale.

Test a changed order as well as a straightforward order. Agree how cancellations and revised recipient details reach the Guangzhou team, how the current stage is checked, and how already released parcels are identified. A replacement order file should show what remains eligible for preparation.

Return evidence against the seller order

The handover record should connect the order reference, actual SKU quantities, packing version, parcel count and tracking references. Keep label creation, packing completion and carrier acceptance distinct so the merchant can assess what has happened.

When an exception occurs, identify the affected line and the next approval. If a buyer requests a return, the seller’s customer decision and the physical receiving arrangement are separate tasks. Returned stock enters a sellable balance only after the agreed checks and disposition approval.

Use our eBay operating page, supplier brief, condition and accessory checks and order-to-parcel handover to plan the Guangzhou work. Goods, route acceptance and included services require confirmation for the actual shipment.
